The five tabs are ordered by when you'd actually touch each one. Set Up comes first because it's where you configure the basics before anything else works correctly. Gantt Chart is the core tool, the one you'll open daily. To-Do List and Calendar break the same task data down into two other views, a flat list and a monthly grid, since a timeline view is useful for seeing overlap but not for a quick "what's due this week" check. Team & Customer Tracker sits last because it's the layer above individual tasks, who's responsible and who the client is.

What repeats across the tabs is the underlying task data, a task entered once feeds the Gantt view, and conceptually connects to the same project across the To-Do and Calendar tabs. What differs is the lens: a timeline for scheduling conflicts, a list for daily execution, a calendar for a monthly glance. That's the actual reason this is five tabs instead of one chart, a single Gantt view answers "when does this happen," but not "what do I need to do today," which is a different question the same task data can answer if it's presented differently.

This template fits someone managing real timelines with dependencies and overlap: a freelancer juggling client deadlines, a small business coordinating a launch, an event planner building out a schedule. It's a weaker fit for a simple flat to-do list with no real dates or overlap to visualize; at that point a plain checklist does the job without the setup a Gantt structure asks for. It's also not built for teams that need real-time multi-user editing at scale or automated dependency logic (if task A slips, task B shifts automatically), Google Sheets shared editing works, but it's manual coordination, not project-management software.

Compared to other tools in the shop, this sits between a single-purpose tracker and dedicated software. Our Multi-Project Management Template is built for someone juggling several projects simultaneously with more structure per project; this one is a single, complete timeline product, lighter to set up, narrower in scope, but everything you need for one project's schedule in one file.

Note: This is a spreadsheet, not project-management software. The color-coded timeline updates automatically as you change dates, but nothing about the file syncs with other tools, sends notifications, or auto-shifts dependent tasks. That's a real limitation if you need those things, but it's also why the file works the same way five years from now as it does today, no subscription to laps or service to sunset.

  • Google Spreadsheets compatible
  • Automated calculations
  • Privacy-focused
  • Fully customizable
  • Instead of manually recoloring cells every time a deadline shifts, you just change the date and the timeline updates itself. A client pushes a delivery back a week, you edit two cells, and the color-coded bar moves with it, no repainting the chart by hand every time a schedule changes.
  • Overlapping bars on the timeline are obvious, this is the moment the visual format actually earns its place, not while you're entering tasks, but during the week two deadlines collide and you need to catch it before it becomes a problem.
  • A packed Gantt chart is the right tool for spotting scheduling conflicts across a whole project, but the wrong tool for a quick "what do I need to do this morning" check, so the same tasks are available in a format built for that instead.
  • No subscription, no monthly fee that creeps up over time, the file lives in your own Google Drive and works the same way whether you open it tomorrow or in two years.
  • The tab structure stays identical project to project, only the tasks and dates change, so starting a new client or launch is a copy of the file, not a new setup process.

Template comes with tabs like:

  • Set up
  • Gantt Chart
  • To do list
  • Calendar
  • Team & Customer tracker

What is a Gantt Chart Template?

A Gantt chart template is a project-scheduling tool that displays tasks as horizontal bars across a timeline, showing when each task starts, ends, and how it overlaps with others. It's used to visualize a project's full schedule at a glance, making it easier to spot scheduling conflicts, track progress, and coordinate deadlines across a team or with clients.

A typical Gantt chart template includes:

  • A list of tasks with assigned start and end dates
  • A visual timeline where task duration is shown as a colored bar
  • Color coding to distinguish task status or category
  • Space to track task owners or responsible team members

Veelgestelde vragen

No, you only need a free Google account. Once you click the access link, the file saves directly to your Google Drive, allowing you to edit rows and manage tasks from your web browser without paying for external project management apps or hidden tool upgrades.

Yes, but the visual calendar formatting works best inside its native platform. While you can download the file as an .xlsx document, Excel handles conditional formatting rules differently, so we highly recommend keeping it inside Google Sheets to ensure your color-coded timelines scale correctly when dates change.

Yes, you can use the standard built-in sharing settings to invite your coworkers or clients to the file. You can set individual permissions so certain team members can actively update their task progress, while others only have view-only access to check active project deadlines.
